Conference Organization Overview
- In confernces with multiple workshops the Presiding Chair participates in the planning of each workshop and insures that they integrate with the overall theme of the meeting.
- The Chair of the workshop is responsible for making final decisions with regard to the content of the workshop.
- The Chair-Elect is responsible for taking minutes during the telecon, and distributing the minutes of the telecon to the other members of the organizing committee. The Chair-Elect succeeds the chair the following year and selects the following year organizing committee.
- Committee Members assist the chairs by sharing ideas, moderating sessions, facilitating discussion, and perhaps to become chairs of future meetings.

Organizers are assisted by the
Boston Society Conference Director and
Meeting Planner. This assistance will include agenda development, minutes organization, speaker communication and all logistical elements of planning the conference. Boston Society staff will generally schedule and attend all teleconferences.

- Audit and control fiduciary responsibilities
- Supervise & assist Conference Director
- Monitor industry trends and select conference topics
- Identify organizers and sponsors
- Select conference location and time

- Recruit organizers and sponsors
Conference Director:
- Detail breaks & catering in conference agenda, and coordinate with venue
- Facilitate communications among officers, speakers, attendees, etc.
- Coordinate conference marketing & advertising
- Coordinate on-site conference activities and responsibilities
- Negotiate hotel contracts and services
- Facilitate communications among officers, speakers, attendees, etc.
- Serve as primary contact for attendee, speaker and sponsor inquiries
- Contract sponsors and manage exhibit services
- Manage on-site conference events and concerns
